This notice explains what personal information Jorge Green Films collects, why I use it and the choices you have.

Jorge Green Films is responsible for the personal information described in this notice. The business is based in Harrogate, North Yorkshire and can be contacted at hello@jorgegreenfilms.com.
What I collect
Depending on how we work together, this may include:
- Your name, email address and optional phone number.
- Your wedding date, venue, plans and package preferences.
- Booking, contract, electronic signature, permission, invoice and payment information.
- Messages, planning notes and information held in your client portal.
- Wedding footage, audio, photographs and your finished films.
- Basic technical and security information needed to operate the website and private portal.
- Contract audit evidence such as signing date and time, approved email, device/browser details and a protected fingerprint of the connecting IP address.
Most of this comes directly from you. It may also come from your partner or a wedding supplier where they need to share it for your booking.
Why I use it
- To respond to your enquiry and check availability.
- To prepare, manage and fulfil your booking and contract.
- To authenticate electronic signatures and preserve evidence of the exact agreement accepted by both parties.
- To plan, film, edit and deliver your wedding films.
- To provide and protect your private client portal.
- To keep appropriate business, payment and tax records.
- To protect the website and prevent misuse.
- To feature work in my portfolio or marketing only where the appropriate permission has been given.
The legal bases I rely on are taking steps at your request before a contract, performing our contract, meeting legal obligations, my legitimate interests in running and protecting the business, and consent where I ask for it.
Who I share it with
I share information only where it is needed to provide the service. This can include website and secure database hosting, email delivery, film hosting or delivery, payment and accounting services, and professional advisers. My current website email service is Resend, and embedded films may be provided through Google or YouTube.
I may also disclose information where required by law or where necessary to establish or defend legal rights. I do not sell or rent your personal information.
Some service providers may process information outside the UK. Where that happens, I use providers that put appropriate safeguards in place for international transfers.
How long I keep it
- Enquiries that do not become bookings are normally deleted within 24 months of the last contact.
- Booking, contract, invoice and payment records may be kept for up to six years after the work is complete where needed for legal, tax or business records.
- Signed contract snapshots, signatures and their audit history are locked after completion and retained with the associated contract record.
- Client portal information is kept while your booking and film delivery are active, then reviewed and removed when it is no longer needed.
- Secure portal links expire after 15 minutes. A portal sign-in session lasts for up to 30 days unless you sign out sooner.
- Wedding footage and finished films are kept for the period agreed in your contract or directly with you.
- Portfolio material is kept while permission remains in place or until it is no longer needed.
I may keep something longer where there is a legal requirement, an unresolved complaint or a need to establish or defend a legal claim.
Cookies and embedded films
The public website does not currently use advertising or analytics cookies. The client portal uses one essential, secure cookie to keep you signed in for up to 30 days. It is necessary for the private portal to work and is removed when you sign out.
When you choose to play an embedded film, the video provider may receive technical information and use its own cookies or similar technology under its privacy terms.
Your rights
Depending on the circumstances, you can ask for a copy of your information, ask me to correct or delete it, restrict or object to its use, or ask for certain information in a portable format. Where I rely on consent, you can withdraw it at any time. Some rights have legal exceptions.
Email hello@jorgegreenfilms.com to make a request or raise a concern. You also have the right to complain to the Information Commissioner's Office.
Keeping your information safe
I use reasonable technical and organisational measures to protect personal information. Client portals are email-gated, access links are short-lived and portal sessions use secure cookies. No online service can be guaranteed completely risk-free, but access is limited to what is needed to provide the service.

I may update this page if the website, services or legal requirements change. The date at the top will always show the latest version.
